Administrative Assistant HR

Working out of the Western Regional office located in Livermore, CA, this position plays a critical role in providing Human Resources Administrative support to the organization in a variety of areas such as employee database maintenance and general clerical functions for a portion of HSS' business which encompasses employees across all client sites in multiple states to include California, Arizona, Nevada, Idaho, and Hawaii.
o Performs data entry of all new hire employees, status/pay rate changes, transfers, terminations, direct deposits, and W-4 changes. Performs maintenance of database information and creates reports as necessary.
o Tracks compliance in Vision database and communicates with managers and employees as needed.
o Assists with new hire paperwork.
o Manages the issuance and return of uniforms.
o Responds to and processes unemployment claims in a timely manner and appeals as appropriate. Regularly communicates with a diverse population of employees and provides accurate information regarding the status of their human resources needs. Demonstrates understanding and sensitivity for the employee's circumstances. Provides excellent customer service at all times.
o Maintains employee and medical files.
o Provides administrative support on various department projects upon request.
o Tracks HIPAA compliance.
o Applies professional judgment, discretion, confidentiality, and integrity to all duties and interactions.
o Works and interacts with employees, managers, vendors, and guests and visitors.
o Associates Degree plus 2 years related administrative experience or an equivalent combination of education and experience.
o Proficient with Microsoft Word and Excel and ability to learn new computer programs and databases.
o Proficiency with computers, calculators, fax machines, telephones and a variety of other office equipment.
o Ability to communicate effectively both verbally and in writing with all levels within the organization as well as outside parties.
o Must have a strong attention to detail.
o Ability to work independently with little supervision.
o Ability to work on several projects simultaneously while continuing to provide quality work.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
